Most security rosters start as a spreadsheet. The usual problems:
- Shifts built in a spreadsheet, then changed by text message, so nobody is sure which version is current.
- A guard calls in sick an hour before a shift and the office works through a phone list.
- A licence or First Aid certificate expires and nobody notices until a client asks.
Our free security guard roster template is a fine place to start.
How BeVigil rostering works
Create shifts, or let them repeat
Add a single shift for a site, or set up a recurring weekly template for sites that run the same coverage every week. Shifts generate automatically on a rolling window.
Auto-roster the gaps
Auto-roster proposes a guard for every open shift in one pass, ranked by proximity, availability, certifications and reputation. It warns when someone would go over their weekly hours or has an expired certification. You review before applying.
Open shifts guards can claim
A shift with no guard goes out to every eligible guard at once, with an optional pay boost if it is urgent. The first to claim it gets it.
Swaps with manager approval
A guard who cannot work a shift hands it to a colleague in the app. The manager approves the swap before it becomes official.
Warnings when you schedule manually
When you assign a guard by hand, BeVigil checks for an overlapping shift, expired certifications, a security licence that does not cover the site's function, incomplete site inductions and less than 8 hours of rest between shifts. Weekly-hour and maximum-shift limits are available as an optional setting. You decide whether to schedule anyway.
Certification and licence checks
Licence and certification expiry dates are tracked, with reminders built in. For Queensland, NSW and ACT, managers can also check a guard's security licence against the official state register from inside BeVigil. It warns rather than blocks; other states are not automated yet.
Guards are notified, and confirm
Guards get a push notification when a shift is assigned and confirm or decline it in the mobile app. A declined shift reopens automatically. The app runs on iOS and Android.

Frequently asked questions
What is security guard rostering software?
It is software for building and managing the shifts security guards work: who is on which site, when, and with which licences.
Can BeVigil build a roster automatically?
Yes. Auto-roster proposes a guard for every open shift, ranked by proximity, availability, certifications and reputation, and warns about weekly-hour overruns and expired certifications. A manager reviews the proposals before anything is applied.
Can guards swap or pick up shifts in the app?
Yes. Guards can hand a shift to a colleague, and the manager approves it before it takes effect. Unfilled shifts can also be offered to every eligible guard, and the first to claim one gets it.
Does BeVigil check security licences?
Licence and certification expiry dates are tracked for every guard. Automated checks against the official state register are available for Queensland, NSW and the ACT only, and they warn rather than block.
